This notice explains what information Whilst You’re Here uses, why it is needed and the choices you have.

Who is responsible for your information?

Whilst You’re Here is the data controller for personal information used by this independent guide. Contact us at admin@whilstyourehere.com for privacy questions or requests.

Information we use

  • Account information: your email address, account identifier and authentication information.
  • Your private guide: saved places, favourites, happening notification choices and read status, visits, visit dates, companions, drinks, memories, ratings and personal routes.
  • Optional photos: images you add to a visit and the sharing choice attached to them.
  • Technical information: session, security and service logs produced when the app and its providers respond to your browser.
  • Location: approximate coordinates supplied by your browser only when you give permission to centre the map or plan nearby stops.

Please do not put sensitive personal information about yourself or anyone else in visit memories or uploaded photographs.

How and why it is used

Account and private-guide information is used to provide the features you ask for and keep each account’s visits, ratings and routes separate. The usual lawful basis is performance of our agreement with you.

Essential logs, moderation and security checks are used for our legitimate interests in operating a reliable, safe service. Optional public photo sharing is based on your clear choice and can be changed later. We may also process information where necessary to meet a legal obligation.

The night planner and route tools make suggestions from venue data, times and distances. They do not make decisions about you with legal or similarly significant effects.

Happening notifications and calendars

If you choose Notify me for a favourite pub, we save that choice and which updates you have marked as read in your private account. You can stop these in-app updates in Me or by removing the pub from your favourites. Phone push notifications are not enabled.

Add to calendar exports the happening details you choose to your calendar app, or opens Google Calendar for you to confirm. We do not connect to or read your calendar. Calendar reminders follow your calendar app’s settings; saved copies may not reflect later event changes.

Location and maps

Your precise location is not saved by Whilst You’re Here. It stays in the current browser session long enough to centre a map, suggest nearby venues or prepare an external directions link.

Interactive maps request tiles from OpenStreetMap, so its servers receive ordinary connection information such as an IP address and browser request. Choosing “walking directions” opens Google Maps in a separate service; Google’s own privacy terms then apply.

Who receives information?

Base44 provides hosting, authentication, data storage and file delivery for the app. It acts as a service provider for app data. Base44 documents default United States hosting unless a workspace has UK or EU data residency configured, and describes its transfer safeguards in its Data Processing Addendum.

OpenStreetMap receives requests needed to draw maps. Google receives information only when you choose to open its external directions service. A photo and accompanying note are visible to other visitors only when you explicitly choose public sharing; they are presented as from “A visitor”, not with your account email.

We do not sell personal information and do not use it for third-party advertising.

How long information is kept

Your account information and private guide are kept while your account remains active or until the relevant item is deleted. Deleted information is removed from the active app, although limited residual copies may remain temporarily in provider backups or recovery systems. Security records are retained only as long as reasonably needed for service operation, fraud prevention and legal requirements.

Your choices and rights

You can amend or delete individual visits and personal routes inside the app, change a photo back to private, or remove it. You may also ask for access to, correction of, deletion of, restriction of or a portable copy of personal information where those rights apply.

Your right to object: you may object to processing based on legitimate interests. You may withdraw a consent-based choice at any time without affecting earlier lawful use.

Complaints and changes

If we cannot resolve a concern, you can complain to the UK Information Commissioner’s Office. We will update this notice when the app’s data practices change and revise the date at the top.
